Privacy Policy

Clove Solutions (“we”, “us”, “our”) is committed to protecting your privacy. This policy explains what personal data we collect, why we collect it, who we share it with, and how you can exercise your rights under the GDPR. This is our English-language policy; it is the authoritative version regardless of which language you browse our site in.

1. What data we collect

Depending on how you use our website and tools, we collect:

  • Account and contact informationyour email address, name, and organization name when you sign up, request a Modeler snapshot, or contact us.

With your consent, we may also use optional analytics cookies on our marketing site (see our Cookie Policy). We do not sell your data.

Card payments for subscriptions are processed by Stripe. Clove Solutions does not store full card numbers on its own servers; we store a Stripe customer/subscription reference so we can manage your subscription. Stripe's processing is covered by Stripe's own privacy terms.

If you use our sales analytics, dish costing, or supplier tools, we also process the business data you upload or connect, such as point-of-sale exports, menu and recipe data, and supplier invoices. Supplier invoice files are stored temporarily to extract data from them; see our data retention practices below.

2. How we use your data

We use the data described above for:

  • Providing the account, dashboards, and reports you request
  • Account and support communication
  • Sending product updates, scheduled reports, and notifying you about relevant features
  • Billing and subscription management
  • Keeping the service secure and diagnosing problems

We do not sell your data. We share data with the service providers ("processors") listed in section 4 below to the extent needed for them to provide their service to us; each is bound by their own data-processing terms. We do not otherwise share or sell your data to third parties for their own marketing purposes.

3. Legal basis (GDPR Article 6)

Depending on the processing activity, your data is processed under:

  • Contractprocessing needed to create your account, provide the service you subscribed to, and handle billing.
  • Consentoptional analytics cookies, and any communications you can opt out of; you may withdraw consent at any time.
  • Legitimate interestkeeping the service secure, preventing abuse, and improving our product.

4. Where data is stored and who processes it

We use the following service providers (sub-processors) to operate Clove. Each processes data only as needed to provide their service to us:

  • Clerkauthentication and account/session management.
  • Supabase (PostgreSQL database and file storage)primary application database and storage for uploaded supplier documents.
  • Stripepayment processing and subscription billing.
  • Resendsending transactional email (reports, invites, notifications) and receiving supplier invoices sent by email.
  • Vercelhosting for our website and application.
  • Fly.iohosting for our backend API.

Data may be processed in regions used by these providers' infrastructure. We have not yet finalized a public statement of specific data-residency regions for every provider; contact us if you need this information for your own compliance purposes.

5. Retention

We retain data for as long as your account is active and as needed to provide the service, comply with legal obligations, resolve disputes, and enforce our agreements.

  • Account and business data (menu, recipes, sales data) is retained while your account is active, or until you request deletion.
  • Supplier invoice source files are treated as temporary processing files: our current target is to remove them roughly 90 days after upload, but automatic deletion is not fully implemented yet, so retention may in practice be longer until that is completed. Extracted invoice data may be retained after the source file is removed.
  • We retain data after account cancellation for a limited period to allow reactivation and to meet accounting/legal obligations, then delete or anonymize it on a rolling basis.

6. Your rights (under GDPR)

You may request at any time:

  • Access
  • Correction
  • Deletion
  • Withdrawal of consent

7. Data deletion

To request deletion of your data, email hello@clove.solutions with the subject "Delete my data".

We will act on verified deletion requests as soon as reasonably possible, and will confirm with you once complete. Some data may be retained for a limited period where we have a legal or accounting obligation to keep it, or where it exists in service-provider backups that age out on their own schedule; we will tell you if this applies to your request.
